What Data We Collect

·       If you contact us, for example by email or through a contact form on this website, we collect your name, email address, and any other information you choose to share with us.

·       If you book a conversation with us, we receive your name, email address and the time you chose, through Microsoft Bookings.

·       If you visit this website, we may collect limited technical information through cookies or similar technologies, such as your IP address, browser type, and pages visited, to help us understand how the site is used.

·       If you use our Payments Health Check or AI Readiness Check, we collect the information described in the section on those tools below.

Why We Collect It, and Our Lawful Basis

·       To respond to your enquiry or request: our lawful basis is legitimate interests (responding to people who contact us) or, where we are taking steps toward a contract with you, contractual necessity.

·       To understand how our website is used and improve it: where this involves non-essential cookies, our lawful basis is your consent, which you can withdraw at any time.

·       For the Payments Health Check and AI Readiness Check: the lawful bases are set out in the section on those tools below.

How Long We Keep It

·       We keep enquiry and correspondence data for as long as reasonably necessary to deal with your enquiry, and no longer than two years afterwards, unless a longer period is required by law. For example, we keep accounting and tax records for six years, as HMRC requires.

·       We keep information you give the Payments Health Check and AI Readiness Check for the periods set out in the section on those tools below.

Who We Share It With

We use a small number of trusted service providers to help us run our business and this website. These include Cloudflare (hosting and storing tool submissions), Attio (customer records), Microsoft (email and the booking page), Framer (this website) and our accounting software provider. These providers only process your data on our instructions and are bound by appropriate confidentiality and security obligations. We do not sell your data to anyone.

Some of these providers process data outside the UK. Where they do, we rely on the UK Addendum to the EU standard contractual clauses or the UK-US data bridge, as set out in each provider's data processing terms.

Cookies

This website is built on Framer, which provides built-in analytics that do not use cookies or store anything that could identify you personally, so no cookie consent is needed for that alone.

If we ever add a tool that does use cookies, for example more detailed analytics, embedded video, or social sharing buttons, we will only set non-essential cookies once you have given consent via a cookie banner, and this section will be updated to say exactly what is in use and why.

Categories this policy covers, if introduced:

·       Strictly necessary: required for the site to function (for example, security settings). These do not require consent.

·       Analytics and performance: help us understand how the site is used, so we can improve it. These require consent.

·       Functional: remember your preferences, such as language. These require consent unless essential to a feature you have specifically requested.

·       Marketing: used to track behaviour for advertising purposes. We do not currently use these, and would ask for specific consent before doing so.

Most browsers let you view, delete or block cookies through their own settings. Blocking all cookies may affect how some websites function, though it will not affect this site's core content, since we do not rely on cookies for essential functionality.

Your Rights

Under UK data protection law, you have the right to:

·       Ask for a copy of the personal data we hold about you

·       Ask us to correct inaccurate data

·       Ask us to delete your data

·       Object to or restrict certain processing

·       Ask for your data to be provided to you or another organisation in a portable format

·       Withdraw consent at any time, where we rely on consent (for example, cookies or updates)

The Payments Health Check and AI Readiness Check

These free tools help you spot gaps in how your business handles payments and AI. This section explains what happens to the information you give them.

What we collect

·       Your answers to the questions, and any figures you choose to enter, such as online card revenue, in-store card sales, conversion rate or margin. Entering figures is optional.

·       If you ask for your results by email: your name, work email address and, if you give them, your company and phone number.

·       Which of the optional boxes you tick: talking your results through with us, by email or phone, and whether you want to be kept posted about new tools and guides. If you ask for a call, we also keep the best time to ring.

·       Basic usage information: which screens were viewed, how long the check took, the type of device (mobile, tablet or desktop), and where you came from, for example a link or website. The tool itself does not set cookies or store anything in your browser.

·       A scrambled (hashed) version of your IP address, held briefly to limit misuse. We do not keep the address itself. Cloudflare, which hosts the tool, handles IP addresses as part of delivering it.

How we use it

·       To show and email you your results, which is why you provided your details.

·       To talk your results through with you, by email or phone as you choose, only if you tick that box.

·       To keep you posted about new tools and guides, only if you tick that box and then confirm by pressing the button in the email we send you. Until you do, you are not added to any list. Every update has an unsubscribe link. If you unsubscribe, we keep a minimal record of that so we do not add you again.

·       To improve the tools and to learn which payment gaps are common. For this we keep your answers separately, without your name or email.

·       To decide whether a follow-up would be useful. We give each submission an internal priority score based on your answers, for example business size, whether a payments decision is coming and how many risks were flagged. You do not see it, and no automated decision is made that affects you.

Why we are allowed to (lawful basis)

·       Sending your results and handling your request: you asked for them (legitimate interests and steps you requested).

·       Talking your results through, and keeping you posted (including invitations to try new tools): your consent, which you can withdraw at any time. For updates we also ask you to confirm by email first.

·       Improving the tools and understanding common gaps: our legitimate interests, using answers kept without your name or email.

Who processes it for us

The providers listed under "Who We Share It With" above run these tools for us: Cloudflare (hosting and storing submissions), Attio (our customer records), Microsoft (our email and the booking page, which has its own privacy policy) and Framer (the website that displays the tool). They act on our instructions. We do not sell your details.

How long we keep it

We keep your name, email and company for 12 months after your last contact with us, then delete them. Answers kept without your name or email may be kept longer. If you unsubscribe, we keep a minimal record of that so we honour your choice.

Complaints

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, or by calling 0303 123 1113.

Changes to This Notice

If we change how we use your data, we will update this notice and the date below.
